Position Summary:

In a community-based practice consisting principally of people living with HIV and other marginalized populations, coordinates and is responsible for the day-to-day operations of a dental office and undertakes a broad spectrum of tasks in fulfilling this important role. Is responsible for all administrative aspects of a two-operatory dental clinic, including patients’ records-keeping, billings, and related information management, whether or not in conjunction with practicum students and/or other volunteers.

 

Typical Duties and Responsibilities:

  • Ensures the delivery of quality dental care to patients through: managing patient scheduling and directing patient traffic flow, presenting treatment plans to patients, managing specialist referral process, and resolve patient issues in accordance with Society policies and procedures, healthcare regulations and dental board standards.
  • Oversees patient billing and payments including: organizing and presenting financial arrangements to patients, arranging payment schedules with patients, overseeing the processing of dental claims, and coordinating with dental insurance companies to ensure claims are paid.
  • Supports clinic operations by aiding in the recruitment and selection of office staff to meet operational requirements. Aids in the training and support of office staff to meet performance standards. Determines staff schedules and monitors/maintains office budget working closely with the Dental Clinic Budget/Finance Sub-committee and Director of Programs and Services.
  • Completes administrative functions, in conjunction with the Finance Department, including bank deposits, revenue posting, and invoice processing. Oversee collections and accounts payable.
  • Maintains patient data according to regulations and Society policies. Ensures that records are stored securely and in compliance with privacy and security regulations, and Society policies. Collects and processes statistical data for quarterly and annual reports.
  • Maintains facilities and equipment in accordance with safety regulations. Responsible for the appearance and functionality of the office. Supports marketing and promotion initiatives in conjunction with Communications Department.
  • Performs other related duties as assigned.

 

Qualifications:

Typical Education, Training and Experience:

  • Certified Dental Assistance License
  • Clinical experience as a CDA preferred
  • Experience in healthcare preferred
  • Knowledge of dental terminology
  • Knowledge of dental office procedures
  • Knowledge of accounting and administrative principles and procedures
  • Knowledge of insurance plans and claims processing
  • Knowledge of ClearDent or similar software required
  • Knowledge of MS Office

This position is covered by the terms and conditions of the prevailing Community Sub-sector Collective Agreement and is a bargaining unit position within CUPE Local 3495.
